Understand document access, visibility, and workspace sharing

Distinguish saved-record visibility, workspace membership, and Google Drive permissions.

Three separate controls affect collaboration: workspace membership, visibility of the saved record in SlideAdmin, and access to the actual Google Drive files.

Understand the controls

ControlWhat it does
Workspace membershipAdds a person to the SlideAdmin workspace
Workspace visibilityMakes the saved document record discoverable in that workspace
Just me visibilityKeeps the saved record in your personal view
Google Drive sharingDetermines who can read or edit the actual Doc, Slides, or theme file

Making a record visible in SlideAdmin does not grant file access. Likewise, sharing a Doc in Drive does not automatically add someone to your SlideAdmin workspace.

Set up a shared workflow

  1. Add collaborators to the workspace using Account.
  2. Where permitted, set the saved document record to Workspace visibility.
  3. Share the source Doc with the collaborators in Google Drive.
  4. Share managed output decks and file-backed themes as needed.
  5. Ask collaborators to sign in and open the workflow with the intended account.

Editing or inserting document content requires Doc edit access. Syncing needs the relevant access to the output deck.

Change or remove access

Change record visibility to control where it appears in SlideAdmin. Remove workspace membership to change app membership. Change Google Drive sharing to revoke actual file access. Review all applicable controls when someone leaves a project.

If a record is visible but will not open, check Drive permissions and the active Google account first. See Troubleshoot sign-in and Google document access.
